  1. From Inventory module > click on Inventory Receipts menu.
  2. The Search screen for Inventory Receipts will be shown. Click New toolbar button.

    Note

    If this is the first record you are creating, it will automatically open a new Inventory Receipt screen.

  3. This will open a new Inventory Receipt screen.
  4. In the Details tab , select Direct in the Receipt Type field select Direct.
  5. Select Vendor in the Vendor ID field.
  6. Select Location in the Location field

    If you would like to always use your user's Location when creating Inventory Receipt, then setup the Default Location from the Users screen. 

    System Manager > Users > select your user > in the Default Location field select your default location.

  7. The Receipt Date field will default to today's date. Change this as needed.
  8. The Currency field will default to the currency setup from Vendor selected.
  9. The Receipt No field will show 'Created on Save' at this point. This will be changed to a generated transaction number from Starting Numbers screen once record is saved.  This Starting Numbers screen can be opened from System Manager module > Starting Numbers menu > select Inventory in the Modules panel > Inventory Receipt.
  10. Source Type is disabled by default with this type.
  11. Enter Blanket Release No
  12. Enter Vendor Ref No if you have this information.
  13. Enter BOL No. (Bill of Lading No.). 
  14. In the Ship From field select Vendor's location where the items will be coming from.
  15. The Ship Via field will default to selected Vendor's location Ship Via setup.
  16. The Receiver field will show the current logged user's User Name.
  17. Select Freight Terms. Based from the Freight Terms selected, the FOB Point field is filled in.
  18. In the Vessel field enter the Vessel info if you have this information.
  19. In the Tax Group field, select a Tax Group if tax applies to this Inventory Receipt transaction.  
  20. Enter Shift Number if you have this information.

  23. In the Item grid select items to receive. 
  24. Select Receipt UOM and enter Qty to Receive. This would be the number of items you would want to receive the item as per Receipt UOM selected.

    If you are always receiving the selected item in a specific UOM, then you can setup the selected UOM as the default Receipt UOM. In that way you will not select the UOM every time you purchase and receive the item. To set this up, go to:

    Item screen > Setup tab > Location tab > Purchase UOM field

  25. In this example, we will not use Gross and Net Weights. Therefore, leave these fields as is.
  26. Fill up other remaining fields as necessary. 
  27. Here is an example of a Inventory Receipt - Direct type with a non lot item and does not use Gross and Net Weight.

  28. Click Save to save the the Inventory Receipt and post it later when item/s are received.
  29. When item/s are ready to be received, prior to Posting it, click Recap to give you preview on what the GL entries would be when this transaction is posted.

  30. Save or Receive/post the transaction. 
    > You can click the Save toolbar button to save it. In case you miss to click this button and you click the Close toolbar button or the x button at the top right corner of the screen, i21 will prompt you if you would like to save it before closing the screen.
