This type of Inventory Receipt is directly created from Inventory Receipt without needing any other prior transactions. The following will guide you on how to create a Direct Inventory Receipt.

  1. From Inventory module > click on Inventory Receipts menu.
  2. The Search screen for Inventory Receipts will be shown. Click New toolbar button.

    If this is the first record you are creating, it will automatically open a new Inventory Receipt screen.

  3. This will open a new Inventory Receipt screen.
  4. In the Details tab, select Direct in the Receipt Type field.
  5. Select Vendor in the Vendor ID field.
  6. Select Location in the Location field
  7. The Receipt Date field will default to today's date. Change this as needed.
  8. The Currency field will default to the currency setup from Vendor selected.
  9. The Receipt No field will show 'Created on Save' at this point. This will be changed to a generated transaction number from Starting Numbers screen once record is saved.  This Starting Numbers screen can be opened from System Manager module > Starting Numbers menu > select Inventory in the Modules panel > Inventory Receipt.
  10. Enter Blanket Release No
  11. Enter Vendor Ref No if you have this information.
  12. Enter Bill of Lading No.
  13. In the Ship From field select Vendor's location where the items will be coming from.
  14. The Ship Via field will default to selected Vendor's location Ship Via setup.
  15. The Receiver field will show the current logged user's User Name.
  16. In the Vessel field enter the Vessel info if you have this information.
  17. Select Freight Terms.
  18. Based from the Freight Terms selected, the FOB Point field is filled in.
  19. Enter Shift Number if you have this information.
  20. In the Notes field enter any notes you have for this Inventory Receipt.
  21. In the grid area, Item No field select item to receive. 

    Note that for an item to be available in Inventory Receipt > Item No. combo box, make sure that the location selected in Inventory Receipt > Location field was added to the item (Item screen > Setup tab > Location tab).

  22. As you select the item that is Lot Tracked - Yes - Serial Number, the Lot Tracking grid will be shown at the bottom part of the screen.
  23. In the Receipt UOM field, specify the UOM when receiving the item.
  24. In the Quantity to Receive field, enter quantity of item to receive.
  25. Select Sub Location for the item to receive.
  26. In the Lot Tracking grid, leave Lot Number field blank. Serial Number for item that is Lot Tracked - Yes - Serial Number will automatically be generated when item is received. This is the screen where starting numbers are pre-defined. You can open this screen from System Manager module > Starting Numbers menu.
  27. Select Lot UOM then enter Quantity to receive for that UOM and press enter. Gross and Net will automatically be computed based on UOM conversion configured in Item screen > Details tab > UOM grid, provided that you have configured your item UOM properly. See How to Setup Item UOM for the recommended way of setting up Item UOM.
  28. Enter Tare if you have that information.
  29. Set Expiry Date for the lot number.
  30. Select Storage Location.
  31. Add additional Lot Number details. You will not be allowed to Receive this item once Quantity in the Lot Tracking grid does not match that of Qty to Receive in the Item grid
  32. Fill up other remaining fields as necessary.
  33. Save the record. You can click the Save toolbar button to save it. In case you miss to click this button and you click the Close toolbar button or the x button at the top right corner of the screen, i21 will prompt you if you would like to save it before closing the screen.
