Pre-requisites:

  1. If the approvers will be grouped, Approver Groups should first be set up: How to Add Approver Groups
  2. If an approver should have specific transactions to approve only setup: How to Add an Approval Configuration to an Approver
  3. Create an Approval List: How to Create an Approval List

 

There is a hierarchy for the approval process.

  1. Entity - The entity is the highest level. If the entity used in the transaction is configured to have approval process for that transaction type, then it's approver will be the one to receive the transaction. Regardless if the Location or the User also has an approval setup.
  2. Location - If the entity does not have an approval process, then the Location will be the next in the level. If the location used in the transaction is configured to have approval process for that transaction type, then it's approver will be the one to receive the transaction. Regardless if the User who created the transaction also has an approval setup.
  3. User - the User entity is the last in the level. If the Entity and Location has no approval setup, then the user entity's approvers will receive the transactions.

Here are the steps to follow when approving a transaction: User Entity Level

  1. Open the user entity record
  2. Open the User Tab | Details | Approvals panel
  3. Select the transaction type in the Require Approval For, and the Approver List name in the Approver List column
  4. Save the configuration
  5. Login the user entity
  6. Create a transaction and save. A message offering to submit the transaction will show:
    1. If the user selects No, he/she will be informed that the transaction requires approval . The status will display as Waiting for Submit.
    2. If the user selects Yes, the transaction will be forwarded to the approver who will receive a notification that he has transactions to approve.
  7. Login the approver 
  8. Open the Approval screen from Common Info or from the Notifications menu 
  9. Approve, Reject or Close the transactions in the Approvals
    1. If the Validate Password is enabled in the Company configurations, the Approver will have to enter his password before applying his changes.
    2. When rejecting a transaction, a reason is required before it gets applied.
    3. If there are another level of approvers, once the current approver is done approving, the transaction will be received by the next approver.
